Pricing Overview Information

Main Product License

The first time a customer licenses a particular product from GFI Software, it is considered the Main Product. Customers can license as many Units of the Main Product subject to quantity minimums. Minimums will vary depending on the product and are clearly indicated in the GFI Software price list. GFI FAXmakerTM has an unlimited license pricing option.

For license quantities that are greater than those in the price book please contact your local GFI Software representative.

Calculating quantity pricing: Quantity purchase pricing discounts are determined based on individual purchase orders and are unique to any product. (Do not add total units of one product and total units of another product to determine the total quantity discount band).

First year Software Maintenance Agreement (SMA) is included as part of the initial product price and cannot be disassembled from the product price.

All GFI Software products have license keys which determine the number of Units of the product the customer has licensed. When a customer licenses the Main Product, they will be issued a key to activate the software.

Additional Product Units (Add-Ons) or adding options (Product Option) to a Product

Add-Ons increase the quantity of licenses a customer has on a particular Main Product; a Product Option is a feature that enhances a GFI Software product but that GFI Software does not include in the Main Product price. Should the customer require that functionality, the customer would license the Product Option at an additional charge.

The license price of the Add-On or Product Option includes SMA through the term of the Main Product license. However if multiple years of SMA were purchased in the Main Product, the SMA for the Add-On or Product Option ends with the first year anniversary of the Main Product SMA.

Since there can only be one key per product, the SMA of all licenses have to end on the same date. Because of this, the license price of Add-On licenses and Product Options (not all products have options) are licensed so that the end date of the Main Product, SMA and any Add-Ons and Product Options licensed end the same time.

Quantity discounts are based on the unique purchase order. So when a customer is licensing Add-Ons or Product Options to a particular product, the volume band in pricing is based on the number of Units they are adding at that time: do not include Units the customer already licensed on a different Purchase Order and do not add quantities of different products.

Product Version Upgrades

A product Version Upgrade is required when a customer wants a new version of the product and is not currently on SMA. There is a 30 day grace period from date of SMA expiration before a customer is required to do a Product Version Upgrade. If however, the customer’s SMA has expired and there has been no new version of the product released a customer does not have to do a Version Upgrade; rather they just need to renew SMA from the date of expiration.

To price a Version Upgrade, go to the pricing pages and locate the SKUs for “Version Upgrade”. One (1) year of SMA is included in the cost of the Version Upgrade. The renewal date will be the date of the Purchase Order. Please Note: Customers under a current SMA do not pay for Version Upgrades, as they are included in the cost of SMA.

Determining Quantity Bands:
Quantity discounts are based on the unique Purchase Order. So when a customer is doing Version Upgrades for a product, the volume band pricing is based on the number of Units they are upgrading at that time: do not include Units already licensed on a different Purchase Order and do not combine quantities of different products.

Software Maintenance Agreements (SMA)

SMA includes:

  • Commercially available product versions (e.g., versions 10, 11,etc.)
  • Bug fixes, patches, “dot" releases (e.g., version 10.1, 10.2, etc.)
  • Web chat
  • Email support
  • Phone support
  • Electronic knowledge base and forums.

First year SMA is required and renewal SMA can be purchased in 1, 2, or 3 year terms. The start date of renewal SMA is the date of the original licensing not the date of the Purchase Order. If a customer purchases SMA for additional years, the second year is discounted 5% and the third year is discounted 10%. These discounts are already reflected in the GFI price book.

Determining Quantity Bands: Calculating the quantity pricing band for renewal SMA is done by multiplying the total licensed Units of a product by the band Unit price for that product. For example, if a customer licensed 60 Mailboxes of GFI MailEssentials in 2008: 10 Mailboxes in February 2008, 20 Mailboxes in March of 2008 and 30 Mailboxes in June of 2008 – to determine the cost for renewal SMA in January of 2009 go to the price book and look at the quantity band for 60 mailboxes ($5.55) and multiply the band price by 60 for a total renewal charge of $333. This differs from what is done to determine quantity bands for product license. For products, it is done by individual Purchase Order, for renewal SMA it is done based on the total of all licenses for a particular product.

Calculating SMA Renewal: If a customer’s SMA expired and they want to renew:

1. There has been no new version release of the product since the SMA expired: Renew maintenance at the current rate in the price book as follows:

i. In the event their SMA expiration is more than one (1) year, the charge is one (1) year for SMA and a maximum of one year of backdated SMA. Please contact your GFI Account Executive on the backdated fee. The SMA term is the date of the Purchase Order plus one year.

ii. In the event their SMA expiration is less than one (1) year, the charge is one year of SMA at the current list price. Their renewal date goes back to the original date of product license.

2. If there has been a new release of the product since the customer's SMA expired:
The customer needs to do a Version Upgrade. Go to the price book, the charge is for Version Upgrade fee. One (1) year SMA is now included with the Version Upgrade. The expiration date for SMA will be one (1) year from the date of the Purchase Order.

First year SMA is included in all initial Main Product licensing and all Version Upgrades. For Add-On licenses, and for the Product Options for GFI FAXmaker (which includes OCR Routing Module, Lines and GFI FAXmaker Servers), SMA is free to the expiration date of the Main Product SMA date. (For multiple year SMA contracts on the Main Product, the SMA for the Add-On licenses is free up until the first anniversary of the Main Product license. Add-On annual SMA needs to be purchased to cover remaining years). For the remaining Product Options (Kaspersky, McAfee Virus Scanning and AVG Virus Scanning only) the cost of the updates will be pro-rated to the expiration date of the original license.

Although Renewal SMA is optional, if a customer does renew SMA, all licensed Units of a product must have SMA. For example, if a customer licensed 100 Mailboxes of GFI MailEssentialsTM, upon expiration of the SMA they would have to renew all 100 Mailboxes; they cannot renew only 40 Mailboxes.

Update Component

For products that have Update Components the Update Components are now included in the cost of SMA. It is mentioned separately in this document so your customers know what Update Components they receive. Product Options are not included in SMA and are licensed separately. Please refer to the specific product pages to get a more in depth understanding.

Subscription Product

There is one product, GFI WebMonitorTM that is licensed 100% as a Subscription model. In the Subscription model the customer pays only one annual fee. That fee includes: the right to use the product, SMA and the appropriate Update Component(s). GFI WebMonitor has three editions: WebFilter, WebSecurity and UnifiedProtection. .Two (2) editions (WebSecurity and UnifiedProtection) have an Update Component which is included in the price and a Product Option that is available for an additional charge. Please refer to the specific product page to get a more in-depth understanding. Additionally, GFI WebMonitor Subscription renewal is discounted 5%. If a customer purchases a multi-year Subscription, the additional years are discounted (year 2 is discounted approximately 31% and the third year is discounted approximately 45%). This pricing is reflected in the price book.

GFI Software Product Suites

GFI Software offers two (2) Product Suites. Our experience is that our customers license certain products together so we created Suites to offer customers a pricing discount. Product Suites have their own SKUs. In order for a customer to get the benefit of the Suite Pricing, the Suite SKU must be used when ordering.

2. GFI EmailProtection SuiteTM: GFI MailSecurity, GFI MailEssentials and GFI MailArchiverTM

Product Returns

GFI Software has a no return policy. Customers have 30 days to fully evaluate the software to determine if it meets their needs. Once an order has been placed an order cannot be cancelled or returned.
