I definitely agree with everything, but don't you wish companies spend more money on much bigger inboxes? That way, there's no need to delete e-mail messages anymore.

I actually just read a recent post on the GFI blog titled “3 Types of E-mails You Wouldn’t Want Archived This Festive Season”. Funny how we (myself including) believe in the real world merits of e-mail archiving, but forget to note that there are definitely some messages we’d rather leave forgotten. That, or we should just stop using our professional e-mails for personal use (Yes, I know it’s going to be impossible).

I think having a robust e-mail archiving system for our own company would've saved us from a world of hurt. After our own system went bust sometime back, we had absolutely no system to recover lost mission critical files. Unlike your company, we hadn't invested in an archive that could back-up our e-mails far enough to act as a decent recovery system. We had implemented a parameter in our archive that would dump e-mails after a certain amount of time. Something I wish we had done away with, looking back on it now.

Points four and six are actually closely related to each other. For a long time now, companies have looked to e-mail archiving as a sort of informal documentation of correspondences, which is well beyond its traditional use as a mode of communication. However, I still believe that companies should still invest and implement in other modes of data backup and recovery in the event that their need should arise in the future.

I'd actually put disaster recovery as the primary benefit of e-mail archiving. Due largely in part to sloppy IT management in my previous job, a hefty amount of project critical files were lost after our main system ran into more than few "technical difficulties". It was actually proficient email archiving that allowed us to salvage a paper trail of our lost files. It took weeks to have everything back in order again, but still, e-mail backup is better than no back-up at all.

I'm actually cramming all of my Christmas shopping over the next week or so, and being in the IT industry, I do know my fair share of system admins that I'll be happy to surprise with a gift under the tree this year. This article (despite being work related) gave me a brilliant idea. E-mail Archives under the Christmas Tree for System Admins? Genius, I must admit. Genius.

They'll definitely get a laugh out of this ;).
